Wells Fargo seeking for a Business Execution Associate

Information Management Office (IM) – Media Destruction is part of the Information Management Office (IMO) The IMO Media Destruction team manages the secure destruction of non-paper records through the services of preferred vendors.  IMO establishes the strategic direction, requirements, operations and overall governance of Wells Fargo’s media destruction services and compliance programs.  This position will play a significant role in providing support and oversight of all LOB media destruction requests on a daily basis and communicating the risks and requirements of said services.  Additionally, the qualified candidate will be responsible for supporting IM – Media Destruction Q/A and risk analysis utilizing data from our MDDB Tool and Scorecard Tool.  This role will provide media destruction guidance, direction and support working with the Group Records Coordinators, lines of business, Property Managers and Project Managers.  This role will also require close interaction with the preferred media vendor’s national support teams in scheduling requests, supporting projects and escalating compliance/risk issues identified.

The ideal candidate will possess a knowledge base and enterprise-level risk experience to be able to interact with all levels of team members to evaluate requests and facilitate suitable solutions.  Moreover, the candidate will possess the ability to identify, assess and mitigate risks associated with media destruction practices while maintaining a balance between risk mitigation and operational efficiency.  Receive direction from leaders and exercise independent judgement while developing an understanding of policies and procedures, best practices, and initiatives.

 This is a fast paced, dynamic and quickly changing work environment where priorities or focus may need to shift frequently as you collaborate and consult with various levels of management or cross functional partners.  Candidate should be a self-starter with demonstrated ability to:  adapt to a changing environment; analyze and simplify complex information; communicate effectively to various audiences, including senior management; influence stakeholders in a collaborative environment without direct organizational authority; make decisions in the face of uncertainty; build strong relationships with team members as well as key business partners; and compile, analyze, and interpret data and reporting.

Key Responsibilities include, but are not limited to:

  • Support and coordinate LOB media destruction requests through MDDB Tool and shared mailbox on a daily basis.
  • Support media destruction projects initiated by LOB, Property Managers, Project Teams, etc. as requested.  May consult on projects and initiatives with high risk to identify and mitigate operational risks in business activities
  • Manage LOB Media container / Key requests and authorizations through MDDB Tool and Container/Key Log.
  • Develop, maintain and communicate all monthly risk and vendor service reporting requirements on time. 
  • Identify and assess LOB requests for compliance with policy requirements as well as other risks that may be presented
  • Provide media  destruction SME support for LOB and Enterprise as necessary to ensure compliance
  • Monitor, coordinate or participate in the production of operational risk performance reports on media destruction service types, risks, trends and compliance issues for vendor scorecard, metrics and senior management reporting purposes
  • Identify and assess operation risk issues associated with day to day media destruction activities.
  • Participate in other projects that support the department and/or the team as needed

A SUCCESSFUL CANDIDATE WILL POSSESS THE FOLLOWING:

  • Individual must be a self-starter, able to work independently in a fast-paced role and drive for results.
  • Demonstrated ability to prioritize multiple deliverables, and overcome challenges to meet deadlines despite competing priorities
  • Creative and critical thinking skills
  • Need to be comfortable with Night Shift: 10 AM EST to 5 PM EST

Required Qualifications:  

5+ years of experience in one or a combination of the following: Business Execution, Implementation, or Strategic Planning and Doc Capture experience.

Desired Qualifications:

  • Intermediate Microsoft Office skills
  • Excellent verbal, written, and interpersonal communication skills
  • Strong analytical skills with high attention to detail and accuracy
  • Ability to interact with all levels of an organization
  • Ability to translate and summarize complex issues into understandable information
  • Experience preparing reporting, metrics and presentation materials for various levels of the organization.
  • Knowledge in Risk Management
  • Demonstrated experience with records management programs
  • Project Management experience
  • Experience with third party vendors and performing analysis of documents
  • Providing customer service to internal customers as well as third party vendors
