In this role, you will:

  • Provide support to a specialized area within the Legal Department using a high degree of analytical, communication and organizational skills

  • Research and resolve issues and matters which may involve substantial legal or factual complexity, through detailed research and examination of documentation and factual investigation

  • Provide substantiation and background for specific client inquiries, claims, disputes, cases and proceedings under the direction of an attorney

  • Present recommendations and exercise some independent judgement while developing specialty expertise

  • Identify issues in area of expertise and work independently on complex assignments without direct supervision

  • Prepare agreements, documents and pleadings, and provide research and background information under the direction of an attorney

  • Collaborate, consult, and provide information with Legal Department attorneys and staff, outside counsel and collaborate with line of business

  • Communicate with government entities as needed


Required Qualifications:

  • 2+ years of Paralegal experience, or equivalent demonstrated through one or a combination of the following: work experience, training, military experience, education


Desired Qualifications:

  • Candidate must have at least two (2) years of legal professional experience either as a Paralegal, Legal Administrative Officer, or equivalent years of experience in Finance, Accounting, Bookkeeping

  • Must have a university degree in Accounting or Finance or Business or Law or other similar training and experience. 

  • Hands-on experience in management, handling or processing of billing and invoicing within a law firm or legal team is an advantage.

  • Candidates must be proficient in MS Office Application such as Word, Excel, Outlook, etc.

  • Experience in tracking hours that lawyers and legal professionals spend on different cases and legal services will be an advantage.

  • Familiar with legal billing codes, invoicing procedures, and compliance with legal regulations in relation to legal billings.

  • Candidate must have excellent communications skills so it will be easier to develop rapport with attorneys in their supported divisions.

  • Candidate must be amenable to work at McKinley Hill on a mid-shift.


Job Expectations:

  • Their main responsibility is to manage all billing activities to ensure accuracy and timely payment. They prepare, review, and send invoices, making sure to include all relevant legal services provided and expenses incurred.

  • Make sure that law firms and other vendors get paid correctly and timely for their work. Keep track the hours that lawyers and legal professionals spend on each case or legal project, make sure those hours are billed correctly, and send out invoices to clients.

  • Track and record legal vendors’ billable hours. They need to be extremely detail oriented as they must accurately track and input time entries, disbursements, deductions, and adjustments. They also work closely with attorneys and other legal professionals to address any billing discrepancies, questions, or clarifications. Make sure payments are recorded and help answer any questions internal and external stakeholders might have about the details on payments done with our legal vendors. It is part of their job to resolve any disputes or issues related to billing. In addition, they often handle payment processing and follow up on overdue accounts. So they need to reconcile billing discrepancies and make necessary adjustments. Prepare and distribute weekly billing reports to management. Review and update client billing information as needed.

  • They keep track of each client’s billing history and prepare reports to provide insights into billing activities and revenue.

  • They may also be involved in the implementation and maintenance of the Firm’s billing system, ensuring it complies with both company policies and legal regulations.

  • Their role is crucial in maintaining the financial health of the Legal Team and in fostering good relationships with clients through clear and accurate billing processes.

  • Discuss invoice issues with attorney handling matter. Providing accurate and efficient auditing of electronically submitted legal fees by law firms and vendors.

  • Prepare regular financial reports on billing and collections. Meet with lawyers or management to discuss billing issues or discrepancies.

  • Strong understanding of legal and financial terminologies

  • Ability to work independently with minimal supervision
