In this role, you will:

  • Support performance of less experienced Administrative Assistance staff and overall effectiveness of team in performing moderately complex to complex administrative tasks
  • Be responsible for compiling information, preparing moderately complex reports, and balancing routine general ledger lines or expense accounts
  • Perform complex administrative, transactional, operational, or customer support tasks
  • Provide a high level of professional support which includes a balance of more experienced level administrative work as well as ongoing ad hoc and project or business initiatives such as planning meetings, tracking deliverables and pulling routine reports
  • Assist with selectively referring callers, and answering questions regarding business unit policies and procedures
  • Provide subject matter expertise and interpretation of administrative procedures to less experienced staff
  • Provide administrative supervision and support to managers in the areas of reporting, customer or business documentation
  • Interact with immediate Administrative Assistant team, functional area, and internal peers regarding routine administrative tasks
  • Support more experienced level leaders with daily administrative tasks and interact with more experienced leaders across the organization


Required Qualifications:

  • 2+ years of Administrative Support experience, or equivalent demonstrated through one or a combination of the following: work experience, training, military experience, education


Desired Qualifications:

  • Strong executive administrative experience supporting senior leaders, including complex calendar management, travel coordination (domestic/international), expense reporting, and meeting/event planning
  • Demonstrated expertise with Concur Travel & Expense and Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Proven ability to manage multiple priorities in a fast-paced, deadline-driven environment with strong attention to detail and organization
  • Excellent written and verbal communication skills, with the ability to interact professionally with C-suite executives, clients, and internal stakeholders 
  • Strong interpersonal skills and customer service orientation, with the ability to build relationships and act as a trusted partner to leadership
  • Ability to work independently with minimal supervision, while collaborating effectively across teams to ensure coverage and support
  • Sound judgment, discretion, and the ability to handle confidential and sensitive information appropriately
  • Experience supporting financial processes, including expense management, reporting, and cost-efficiency practices
  • Ability to coordinate across business partners (e.g., IT, facilities, onboarding/offboarding teams) to support operational and administrative needs
  • Experience providing project or program coordination support, including contributing to process improvements or cross-functional initiatives
  • Knowledge of organizational policies, procedures, and compliance practices, with the ability to follow and reinforce standards
  • Prior Administrative Financial Service experience preferred

Job Expectations:

  • This position offers a hybrid work schedule.
  • This position is not eligible for Visa sponsorship
  • Ability to work outside of regular business hours; willingness to stay late and arrive early 
  • This position is subject to FINRA background screening requirements. Candidates must successfully complete and pass a background check prior to hire. Successful candidates must also meet and comply with ongoing regulatory obligations, which include periodic screening and mandatory reporting of certain incidents.

New York- New York Pay Range: $34.62- $52.40 hourly
