Wells Fargo is seeking an Associate Executive Specialist to support Commercial Banking Operations.


In this role, you will:

  • Provide a high level of professional support which includes a balance of experienced executive level administrative work, as well, as ongoing ad-hoc project and business initiatives such as planning meetings, tracking deliverables and pulling routine reports
  • Perform heavy calendaring, complex travel planning, extensive document creation and editing, and preparing expense report submissions
  • Assist with budget planning and compile statistical data for financial planning
  • Act as information source on group and company policies
  • Interact with external customers
  • Additionally, this role will play a significant role in the management of and local site event coordination across the Arizona locations for Wholesale Operations. 
  • Maintaining a detailed sense of priorities and time sensitivity. Maintaining confidentiality of initiative support and handling of sensitive data and documents.
  • Communicating directly, on behalf of the Leader, with executive and senior leadership and team members in a timely, diplomatic, and gracious manner
  • Scheduling meetings, managing calendar and serving as onsite support in the coordination and planning of local events
  • Planning and scheduling of global townhall events and meetings
  • Editing and printing event materials and project documents
  • Maintaining supplies and equipment
  • Partnering with other executive assistants to ensure seamless handoff and coordination of duties/tasks/responsibilities in the other’s absence
  • Be the dedicated administrative team member at the site, the role is essential for day-to-day operations, employee engagement, and management of weekly mail and package deliveries


Required Qualifications:

  • 6+ months of Executive Administration experience, or equivalent demonstrated through one or a combination of the following: work experience, training, military experience, education


Desired Qualifications:

  • Advanced Microsoft Office (Outlook, Excel, Word, PowerPoint, LiveMeeting and SharePoint) skills
  • Experience supporting senior level leaders/executives
  • Ability to manage changing travel itineraries, accurately manage expense reimbursement, manage a busy calendar and appointments flawlessly
  • Ability to anticipate needs and independently execute solutions
  • Experience communicating in both written and verbal formats with senior executive-level leaders
  • Experience supporting multiple managers with calendar management, travel arrangements, scheduling of meetings and events
  • Highly refined and professional verbal and written communications
  • Knowledge and understanding of wholesale banking products and services
  • Strong organizational, multi-tasking, and prioritizing skills
  • Strong time management skills and ability to meet deadlines
  • Experience working with changing priorities and deadlines
